The Facility Coordinatoris responsible for assuring high standards of customer service, unwavering optimism and professionalism at all times, including timely response to and resolution of any client's requests or concerns.

Key Responsibilities:

  • Workflow management:
    • Answer customer service lines and/or emails, generate work orders for dispatch to appropriate service provider.
    • Coordinate the assignment, tracking and reporting on all work order activity at each location.
    • Closely track the status of all work orders for location and provide timely communications and weekly reports keeping Manager(s) apprised of any issues.
  • Perform post-work order follow ups with vendors and clients to ensure completion and satisfaction.
  • Support development of solutions/remedies required to mitigate a work request.
  • Assist in collection and oversight of inspections of facilities/properties.
  • Support contract/vendor administration, including but not limited to...
    • Organization of vendor contracts and insurance information.
    • Aiding bidding process and assist Manager(s) efforts to ensure compliance with policies and procedures.
    • Supporting a high level of service and responsiveness of the subcontracted service.
  • Assist with establishing, measuring, and managing key performance metrics for portfolio operation.
  • Assist in developing and managing processes to ensure all elements of compliance programs are maintained.
  • Receive and code invoices for Manager approval through invoice processing system.
  • Assist in creating monthly, quarterly, and annual reports for client.
  • Other duties as assigned.

Requirements

The successful candidate will possess the following required degrees, certificates, or competencies:

  • High school diploma/GED equivalent; Bachelor's degree preferred
  • 3+ years of real estate property /facility management or related experience, or any similar combination of education and experience
  • Knowledge and experience with work orders systems (CMMS / CAFM)
  • Proficiency with Microsoft Office Suite
  • Strong organizational skills; detail oriented
  • Excellent oral and written communication and presentation skills
  • Strong interpersonal skills: Ability to work with others well, give and take direction and to interface with decision makers in a professional manner and maintain confidential information.
  • Proven record of excellent internal and external customer service
  • Ability to handle a variety of work with minimal direction and supervision.
  • A strong team player, service-oriented attitude and unwavering positive outlook
