Provide high-level administrative support to the KPB Market Leader/Market President. This position is central to the smooth and efficient operation of the three KPB Florida offices.
Essential Job Functions:
Act as the primary administrative support to the KPB Market Leader/Market President
Manage priorities in a fast-paced environment
Interfaces with line of business leaders, and their assistants, in a cordial and professional manner in the execution of administrative duties
Handles inquiries on behalf of the executive, where possible; may reply to correspondence on behalf of the executive or route the correspondence to the appropriate party for handling
Works independently on routine and more complex projects after acquiring initial experience
Responsible for calendar management, communication and correspondence, expense reports, invoices, travel arrangements, and human resource needs
Prepares agendas, materials and presentations for meetings
Responsible for meeting coordination, video conferencing and scheduling and organizing proper room setup as needed.
Completes a variety of special assignments and projects. Able to establish objectives, setting and adjusting priorities, efficiently managing time, gaining cooperation and participation from others through effective collaboration, monitoring progress, problem-solving, and implementing plans
Improves processes and procedures by evaluating current state and investigating best practice options for better efficiencies and effectiveness
Perform additional duties or project work as assigned
Required Qualifications:
High school Diploma
Minimum of five years executive support experience and or equivalent business experience
Very strong and proven organizational skills; excellent attention to detail and accuracy in work; time management abilities
Demonstrated attention to detail, excellent communications skills, ability to prioritize and manage multiple tasks
Advanced PC skills including Outlook, Microsoft Word, Excel and PowerPoint
Ability to produce executive-level materials and presentations; organization and accuracy in work.
Excellent verbal and written communication skills; ability to work in a team environment; development of collaborative relationships both internal and external
Demonstrated ability to follow through on assignments, solve problems, and make decisions
Adept at interacting with senior executives; willing to provide assistance proactively or upon request
Maintain strict confidentiality of documents and information
Preferred Qualifications:
Undergraduate degree
Financial Services experience
